Summary of Position:
The Accounting & Administrative Specialist will serve as a key member of our finance and administration team. This role is responsible for the precise execution of payroll, accounts payable, accounts receivable, and providing operational support to our e-commerce and administrative departments.
Key Responsibilities:
Finance & Payroll Responsibilities:
- Payroll Processing:
- Process bi-weekly payroll for all employees in ERP system.
- Expense Report Review:
- Review employee expense report entries against outstanding company credit card charges for accuracy and completeness.
- Accounts Payable (AP):
- Set vendors up in ERP system from operations on-boarding form including W-9.
o Enter approved service invoices and product invoices against purchase orders where generated.
o Review of open payables for payment processing weekly.
- Set vendors up in ERP system from operations on-boarding form including W-9.
- Accounts Receivable (AR):
- Set customers up in ERP system from sales credit application including sales tax exemptions by state.
o Assist the department with generating and distributing customer invoices and monthly statements.
o Process customer credit card, check and ACH payments.
- Set customers up in ERP system from sales credit application including sales tax exemptions by state.
Operations & Administration:
- E-commerce Management:
- Accurately process e-commerce orders with credit card payments.
- Office Operations:
- Maintain office supply inventory for all departments.
- Manage the “front-of-house” by answering incoming calls and greeting visitors at the front door.
- Departmental Support:
- Assist the Administration department with special projects as needed.
- Perform other duties as assigned.
Qualifications:
- At least 2–3 years of experience in a combined accounting and payroll role.
- Understanding of AP and AR workflows and their impact on cash flow.
- Experience with e-commerce order processing is a plus.
- High school diploma or equivalent
